A single no-show feels like a minor annoyance: the unit stays on the shelf and you move on. Across a full year of reservations the pattern adds up to real money, and every double booking on top of that costs a refund, a rushed substitute or a lost customer. This calculator puts a yearly dollar figure on those leaks so you can decide whether a deposit, a confirmation step or a better booking calendar is worth the effort.

The estimate multiplies your monthly bookings by the no-show rate and the average booking value to get the revenue that never arrives, then subtracts the share of that value you keep as a nonrefundable deposit. Double bookings are counted at the cost per incident you enter. Everything is annualized by multiplying by twelve, and the total is also shown as a share of the revenue you book in a year.

How to use this tool

  1. Enter your monthly reservations and the typical value of one booking.
  2. Estimate your no-show rate from last season's calendar and enter the nonrefundable deposit share you currently collect, or 0.
  3. Add how often overlapping bookings happen and what each one costs you, then read the yearly leak and try a higher deposit or fewer double bookings to see the difference.

What the math assumes

  • A no-show is a reservation that is neither picked up nor resold to another customer, so its full booking value is counted as lost.
  • The nonrefundable deposit percentage you enter is kept on every no-show; refundable deposits should be entered as 0 because they are returned to the customer.
  • Each double booking costs exactly the amount you enter per incident (150 dollars by default); the calculator does not estimate lost repeat business from unhappy customers.
  • Monthly figures are multiplied by 12 with no seasonality, so a shop with a strong summer and a quiet winter should enter yearly averages.
  • The leak percentage compares the total leak to gross booked revenue (reservations multiplied by average value), not to profit.

Frequently asked questions

How do I find my no-show rate if I have never tracked it?

Go through one or two busy months in your calendar and count reservations that were never picked up, then divide by the total reservations for those months. Even a rough count beats a guess.

Is a deposit the only way to cut no-shows?

No. Confirmation messages a day before pickup, clear cancellation deadlines and taking card details at booking all help. The deposit input simply shows how much of the loss a forfeited amount recovers.

Why is the cost per double booking an input instead of a fixed number?

It varies enormously between a 40 dollar folding chair order and a 2,000 dollar camera package. Enter what a typical incident really costs you in refunds, substitutes and staff time.
